Capturing video content from a multi-national conference

Large conferences demand more than basic event coverage. They require precision, coordination and a clear video marketing strategy that ensures the content continues delivering value long after the final session ends.

Towards the end of 2023, we were approached by a major events management company to support a multi-national conference spanning four cities: London, Frankfurt, Paris and Rotterdam.

The brief was clear. Capture the energy of the events, film every presentation across all locations and produce promotional content that would drive attendance for future conferences.


The Initial Plan

After submitting a proposal that came in just under budget, we were awarded the project and immediately moved into detailed planning.

The objectives were twofold.

First, create multiple promotional videos highlighting:

  • Attendees networking
  • Sponsors and exhibitors showcasing products
  • Venue atmosphere from ground level and aerial perspectives
  • Vox pops with attendees, sponsors and exhibitors

These short interviews were essential. They provided authentic, in-the-moment reactions that future delegates could relate to. Real feedback builds credibility, and credibility drives registrations.

Second, capture and produce all 120 presentations, keynotes and lock notes delivered across the four cities. Each session needed to be professionally recorded and edited with:

  • Branded animated assets
  • Video intros
  • Licensed music
  • Synced presentation slides

These videos would be hosted on the client’s platform, allowing attendees to revisit sessions or catch up on talks delivered in other cities.

This was not just event coverage. It was a large-scale content operation.


Scaling Up to Deliver

As an established video production company based in St Albans, we handle the vast majority of our work in-house. However, this project required simultaneous filming across multiple stages and rooms.

To meet the scale of the conference, we expanded our crew by bringing in trusted freelance videographers we have built relationships with over the years. This ensured quality remained consistent across all locations.

Equipment was another major consideration. Filming six separate areas simultaneously meant increasing our kit list significantly. We invested in additional 4K cameras, slow-motion cameras, lenses and professional audio equipment to guarantee:

  • Consistent quality across every stage
  • Backup systems for reliability
  • Smooth workflows during fast-paced schedules

Planning, redundancy and communication were key to delivering at this level.


The Results

In total, we delivered over 125 edited videos within a one-week deadline. The client required minimal revisions across the entire project and everything was delivered within budget.

Beyond the immediate success, the project strengthened our ability to manage large-scale, multi-location productions. It expanded both our equipment inventory and our operational processes, positioning us to confidently deliver even larger conferences, forums and corporate events in the future.

Strategic video marketing does not stop at filming. It is about creating assets that continue to provide value long after the event ends. In this case, the promotional films are already supporting future registrations while the session recordings extend the life of the conference content.
