The initial conversation Towards the end of 2023 we were approached by a large events management company who needed our help on a multi-national conference. We were asked to capture the event itself, plus all presentations throughout the day and then create informative and promotional video content. The conference spanned across four cities, London, Frankfurt, Paris and Rotterdam. The aim After providing a quote just under their budget we were awarded the project and started planning the job. The aim was to create multiple promotional videos that would highlight each area of the conference and these videos would be used to help attract additional attendees to future events. Some of the key elements of these videos focused around capturing attendees networking, exploring client products and also showcasing the incredible venues from the ground and air. Vox pops (short, in the moment interviews) were also key to these videos. The plan would be to capture attendees to show firsthand how informative and worthwhile the events are to future potential customers. We also captured vox pops with sponsors and exhibitors to demonstrate the benefits of bringing your brand to the event. The other video requirement was to capture all 120 presentations, keynotes and lock notes across the events. These would be used on the clients platform to send out to everyone attending the event should they wish to review or show to other team members. They could watch other presentations they missed which took place in a different city. Once the speaker was captured every video needed to have animated assets, video intros, music and sync’d up presentation slides added. The challenges we overcome We are a small but experienced team of videographers, editors, drone pilots and more which means that 99% of our projects are all done in house. As this project had a lot to capture we needed to bring in some additional videographers. Over the decade that Yellow Lizard Media has been operating we have met some skilful camera operators all over the country that we were confident to bring on board. Equipment requirements was another challenge we had to fulfil. Although we own an extensive range of cameras and cinematic equipment we still needed more as we would be capturing 6 separate areas simultaneously. Due to this we purchased additional 4K slow-mo cameras, lenses, audio equipment and more to ensure we could capture everything on the day and had backup on standby to ensure a smooth shoot. The results Most importantly the client was very happy with the videos supplied. There were little to no changes across the 125+ videos. All videos were completed within the one week deadline provided and also under their budget. We learnt a lot during this project by taking on tasks that were not typical of our usual shoots, and these skills will transfer to future projects. This experience, combined with the increased range of cameras and equipment means we are able to take on larger scale events, conferences and forums in the future.
